Getting Started
Simply click "Get Started Free" and create an account. You'll be guided through setting up your club profile, including your club name, description, and basic settings. The whole process takes less than 2 minutes.
Yes! Our Pawn tier is completely free and includes up to 30 members, unlimited events, attendance tracking, and email notifications. No credit card required, and you can use it forever.
You can add members in two ways: manually create member profiles with their information, or send email invitations. When you invite someone, they'll receive a welcome email with a link to set up their profile.
Yes! You can import members from a CSV file. Just format your data with columns for first name, last name, email, and any other fields you'd like to include.
Pricing & Billing
We accept all major credit cards (Visa, Mastercard, American Express) through our secure payment processor, Stripe. All payments are encrypted and secure.
Absolutely! You can change your plan at any time from your billing settings. When upgrading, you'll get immediate access to new features. When downgrading, the change takes effect at the end of your current billing period.
If you reach 30 members on the free Pawn tier, you'll need to upgrade to Rook (unlimited members) to add more. Your existing members and data remain intact.
Yes! We offer special pricing for registered non-profit organizations and educational institutions. Contact us to learn more.
Yes! We offer a 14-day free trial for both Rook and King tiers. No credit card required to start. During the trial, you get full access to all tier features with one exception: outbound emails (announcements, event reminders) are disabled to prevent spam. Once you add payment details, email sending is enabled immediately.
Features & Usage
On the Pawn tier, you can create standard event types: tournaments, lessons, practice sessions, workshops, meetings, and casual play. On Rook and King tiers, you can also create custom event types specific to your club.
When running an event, you can mark each registered member as Present, Absent, Late, or Excused. You can also use bulk actions to quickly mark multiple members. Attendance history is saved and can be viewed for reporting.
Yes! You can link contacts (parents, guardians, emergency contacts) to member profiles. This is especially useful for youth chess programs where parents need to receive event notifications.
Custom fields (Rook tier and above) let you add club-specific data to member profiles. Common examples include USCF ratings, school grade, skill level, dietary restrictions, or any information relevant to your club.
Yes, on Rook and King tiers. You can customize the system emails (welcome messages, event reminders, registration confirmations) with your club's branding and messaging.
Privacy & Security
Yes! We use industry-standard encryption (SSL/TLS) for all data transmission. Your data is stored on secure, encrypted servers. We never share or sell your information to third parties.
Only club administrators (you and anyone you designate) can see detailed member information. Members can view their own profiles and public club information, but not other members' private details.
Yes, you can export your member list, event history, and attendance records at any time. Your data belongs to you, and you can take it with you if you ever decide to leave.
Yes, we are fully GDPR compliant. We have clear data processing policies, support data deletion requests, and give you full control over your club's data.

Pawn tier users have access to our community forum and knowledge base. Rook users get priority email support with faster response times. King users receive dedicated support with a personal account manager.
Yes! We have comprehensive documentation covering all features, step-by-step guides, and video tutorials. Access it anytime from the Help menu in your dashboard.
